Privacy Policy

British Rail Badminton Club / SK Club Portal

Last updated:

This Privacy Policy explains how the British Rail Badminton Club mobile and web application ("the App", "we", "us", or "our") collects, uses, stores and protects personal information.

The App helps club members manage membership, fixtures, club nights, availability, teams, payments, notifications and related club activities.

1. Information we collect

Depending on how you use the App, we may collect and process:

  • Name and membership profile information
  • Email address
  • Telephone number
  • Badminton England number, where provided
  • Club membership and team information
  • Fixture and club-night availability
  • Attendance and check-in information
  • Match, team and season information
  • Membership payment status and payment records
  • Addresses where needed for club administration
  • Notification preferences
  • Account and authentication information
  • Technical information required to operate and secure the App, such as login/session information and security logs

We only collect information required to provide or administer the club service.

2. How we use your information

We may use personal information to:

  • Create and manage your club account
  • Administer club membership
  • Show club nights, fixtures, teams and season information
  • Record your availability for fixtures and club nights
  • Help captains organise teams and line-ups
  • Record attendance or check-ins
  • Manage membership fees and payment records
  • Send service, fixture, club-night or membership reminders
  • Provide account and security notifications
  • Respond to support or administrative requests
  • Protect the App against misuse, fraud and unauthorised access
  • Meet legal, accounting and regulatory obligations

We do not sell personal information.

3. Legal basis

Where UK GDPR applies, we process personal information on one or more of the following bases:

  • Performance of a contract or membership arrangement
  • Legitimate interests in administering and operating the badminton club
  • Compliance with legal obligations
  • Consent, where consent is required for a particular feature or communication

Where consent is used, it can be withdrawn.

4. Payments

Membership payments may be processed through third-party payment providers.

Payment-card details are handled by the relevant payment provider and are not intended to be stored directly by the App.

The App may retain payment status, transaction references, amounts and dates required for membership administration and accounting.

5. Notifications

If notifications are enabled, the App may send reminders or service messages relating to:

  • Fixtures
  • Club nights
  • Availability
  • Membership
  • Payments
  • Account or security information

Users can change notification permissions through their device settings and, where available, within the App.

6. Sharing of information

Personal information may be accessible to authorised club administrators, captains or other authorised users where necessary for legitimate club administration.

We may also use service providers that help operate the App, such as hosting, email, security, payment or notification providers.

We do not sell personal information to advertisers.

Information is shared only where necessary to provide the service, meet legal obligations, protect users or the club, or where authorised by the user.

7. Data retention

We keep personal information only for as long as needed for the purposes described in this policy, including club administration, accounting, security and legal obligations.

Some records may need to be retained after membership ends where required for financial, legal or operational reasons.

When information is no longer required, it will be deleted or anonymised where appropriate.

8. Security

We use reasonable technical and organisational measures to protect personal information against:

  • Unauthorised access
  • Loss
  • Misuse
  • Alteration
  • Accidental disclosure

Access to administrative functions is restricted to authorised users.

No internet-based system can be guaranteed to be completely secure, but reasonable measures are taken to protect information.

9. Your rights

Under UK data-protection law, users may have rights including:

  • Access to personal information
  • Correction of inaccurate information
  • Deletion in certain circumstances
  • Restriction of processing
  • Objection to certain processing
  • Data portability where applicable
  • Withdrawal of consent where processing relies on consent
  • The right to complain to the Information Commissioner's Office (ICO)

Some rights may be subject to legal exemptions.

10. Account deletion

You can delete your account at any time: sign in, open My profile and choose Delete my account (this works in the app and on the website). Your name, email, phone, bank and payment details, future availability, team places and unpaid invoices are removed and you are signed out everywhere. Past game results, attendance and payments already made are kept without your name, because the club needs them for its records and accounts. You can also ask the club to delete your data.

Some records may need to be retained where required by law or legitimate administrative obligations.

11. Children's data

The App is intended for club members and authorised users.

If personal information relating to a child or young person is processed, appropriate consent, club procedures and safeguarding requirements should be followed.

12. Third-party services

The App may link to or use third-party services such as payment providers, email services, hosting providers or notification services.

Those providers may process information under their own privacy terms.

Where required, reasonable steps are taken to use service providers with appropriate data-protection safeguards.

13. Changes to this policy

This Privacy Policy may be updated from time to time.

The latest version will be published on the club website or within the App and will show the updated date.
